Separate mechanical checks from editorial judgment
A batch can share formatting rules without sharing one approval decision. Check required destinations, assets, links and basic completeness consistently. Then review each message’s meaning, evidence and timing. A correct file structure does not make every claim appropriate. Keep the batch small enough that exceptions can be identified and repaired without losing track of what changed. The purpose of batching is to reduce repetitive handling while preserving the decisions that actually depend on the content of each item.
Choose a representative inspection sample
Before importing a larger collection, inspect a small sample covering different formats and constraints. Include a dated promotion, a reusable explanation and something requiring manual finishing. Check the actual result against the source record. Do not use the easiest row as proof that every variation will behave the same way. If the sample reveals a mapping or destination problem, correct the cause locally and verify it before expanding the operation to material that is harder to reconcile.
Keep uncertain items out of blanket approval
A message awaiting a source, corrected image or responsible reviewer should remain visibly separate from ready material. Do not let a batch deadline turn uncertainty into implied permission. Record what is missing and who can resolve it, then continue with independent items that genuinely are ready. This approach keeps routine work moving without pretending every item has passed the same checks. It also prevents the team from repeatedly reviewing the entire collection because one difficult exception was never isolated.
Verify the resulting queue, not just the import
Compare the prepared set with what actually entered the publishing workflow. Preserve the original identifiers and investigate missing or duplicated items before another bulk operation. Inspect the upcoming mix for accidental repetition and date conflicts. Once the batch is understood, hand over the eligible items with a clear owner and exception record. A successful batch is not simply one that uploaded; it is one whose meaning, destinations and publication conditions remained intact through the process.
