Choose between three different outcomes
Update material when the core idea remains useful but a claim or asset needs repair. Archive it when the reader need has passed or the evidence no longer supports the message. Requeue it only when it remains suitable and the next appearance has a purpose. These choices are not measures of an author’s productivity. A smaller accurate library is more valuable than a large collection whose contents nobody is willing to approve for another public appearance.
Preserve the reason behind the change
An archived item can be valuable evidence of what was said and why it stopped. Keep a concise note in your own records rather than relying on its current location in the tool to explain the decision. Do not delete original assets simply to make a dashboard tidier. If a message was withdrawn because a permission ended or a claim became wrong, that reason should remain visible to anyone considering whether to reuse it later.
Check the schedule before restoring anything
Restoring content may put it back into a workflow with existing timing, destination or repetition assumptions. Inspect those settings rather than assuming restoration means draft-only preparation. Confirm the current evidence and intended audience first. If the old item is heavily entangled with a past campaign, a carefully documented new version may be clearer than reactivating it. Preserve the relationship between versions so the team does not accidentally keep both active with conflicting information.
Review the library as a living collection
Set aside a realistic maintenance routine based on how often your claims change. Look for repeated exceptions, stale destinations and categories that no longer serve the audience. Reduce unnecessary slots when the eligible collection shrinks. The goal is not permanent automation; it is a reusable system that stays understandable as people, products and campaigns change. End each review with a concrete decision about what remains eligible and who owns the next check.
